Bookings

How do I start a booking?
Browse services, pick a date and location, then send a booking request. We guide you step by step and keep your progress saved so you can finish later.
Can I save progress and finish later?
Yes. Booking progress is saved in your session and can be restored when you return. You can resume from where you left off and continue submitting when ready.
Can I update details after sending a request?
Yes. Use the booking thread in Inbox to share updates. Providers can adjust dates, scope, and quote details inside the same conversation.
How is availability checked?
We check provider calendars in real time and merge Google Calendar data when providers connect it. Blocked dates are disabled during selection, and clashes are flagged.
How are travel and accommodation calculated?
We estimate driving vs. flights based on distance and nearest airports. If your event is far, accommodation is added automatically. We also fetch a 3-day weather forecast for planning.
What happens if my connection drops while booking?
Booking submissions are queued and retried when your connection returns. This reduces duplicate requests and helps preserve your latest changes.
Can I search by town or space?
Yes. Start typing a town or space and select a result. We use Places to improve accuracy and estimate travel more precisely.

Payments

When do I pay?
After you accept a quote, you pay the full amount to confirm the booking. No deposits are required.
What payment methods are supported?
Card payments are supported right in the app. If alternative methods are needed for your region, your provider can share details in chat.
What platform fees does Booka charge?
Booka deducts a 7.5% commission from provider payouts on confirmed bookings. Clients pay an additional 3% service and hosting fee on top of the quote amount at checkout. VAT may apply where required by law.
How do I know a payment is confirmed?
Payment confirmation is handled server-side. After the gateway confirms payment, booking status and notifications are updated in your thread and account.
What if checkout returns but the booking still shows unpaid?
Gateway redirects are not final proof on their own. Wait a moment for verification to complete, then refresh the thread. If it still shows unpaid, contact support with your booking reference.

Quotes

What’s included in a quote?
Quotes include performance fees, sound and accommodation providers (if needed), travel costs, taxes, and applicable discounts. You can see a running total in the chat thread.
Can a quote be revised?
Yes. Providers can update quote details in the booking thread if dates, scope, travel, or other costs change before acceptance.
Do quotes expire?
Yes. Quote validity is shown in the thread. If a quote expires, request an updated quote in the same booking conversation.

Service Providers

How are providers selected for my needs?
We match your event details to a provider’s preferences with smart fallbacks (e.g., sound or accommodation partners). You can review and confirm options during the quote step.
Are providers verified before appearing on Booka?
Listings are reviewed, and provider visibility can require account verification checks such as identity and bank proof, depending on enabled moderation settings.
How does provider calendar sync work?
Providers can connect Google Calendar so external busy slots are merged into availability. If sync fails, the account remains connected with re-auth status instead of being silently disconnected.

Messages

Where do I find my messages?
Open your Inbox to see all conversations. We support real-time chat, unread counts, typing indicators, and attachments. Messages queue offline and send automatically once you’re back online.
Do messages send if I go offline?
Yes. Messages can queue while offline and retry with backoff when connectivity returns, helping prevent failed sends and duplicate posts.
Can I send images and files in chat?
Yes. Chat supports media and file attachments. Uploads are processed through the attachment pipeline and rendered in-thread with previews when available.

Cancellations

What is the cancellation policy?
Policies vary by provider and will be visible before you pay. Many providers offer partial refunds up to a certain date; always review the policy shown on your quote.
How do cancellations work after payment?
Post-payment cancellations follow the provider policy attached to your quote and booking. Use the booking thread first so changes are logged in one place.
What if I disagree with a cancellation outcome?
Open a support case and include the booking reference, timeline, and supporting screenshots. Support can review thread history, payment state, and policy context.

Trust & Safety

How do you keep my account secure?
We use secure sessions, optional MFA, and follow best practices for data handling. You can review recent activity from your account page and sign out of other devices.
How is personal data handled?
Booka follows POPIA-aligned privacy practices for account and booking data. Data is used for service operations, support, and required communications.
Why should I keep payments and messaging on Booka?
Platform-side records make support and dispute handling faster because booking, chat, quote, and payment events stay linked under one reference.

Account

Where can I update my profile?
Clients can edit their profile under Account. Service providers can update their profile and portfolio from the Dashboard.
Where do providers manage Google Calendar connection?
Providers can connect or disconnect Google Calendar from profile settings in the Dashboard. Reconnect is required when scope or authorization changes.
How do booking updates reach me?
Key updates are delivered through Inbox and notifications, with email and other channels used for major lifecycle events like quotes and booking confirmation.
